SUMMARY:

Provide support for daily human resource operations.  Handle routine HR inquiries and provide responsive and knowledgeable assistance to employees. Have knowledge of the District’s Teacher Substitute processes and procedures.

 

QUALIFICATIONS:

 

EDUCATION:

High school diploma or GED

 

EXPERIENCE:

One or more years in a secretarial position, preferably in a public education campus environment

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

HR Support

  1. Handle routine HR inquiries to ensure high level of service and responsive, knowledgeable support for employees and their supervisors.  Explain HR policies and practices to employees as appropriate.
  2. Maintain HR information database to ensure that employee information is accurate, current, and reliable.
  3. Maintain position control system in an accurate and timely manner. Reconcile job descriptions with position control to ensure that there is a job description for every job.  Follow up with supervisors to make certain that job descriptions are reviewed and updated on a regular basis.
  4. Receive and process applications, including verifying completeness of files and notifying those not selected for employment.
  5. Process new hire paperwork including criminal history information, references, and other application materials.
  6. Perform HR functions as it pertains to the overall operation of the dept. which may not be exhaustive of only job duties mentioned in this job description.
  7. Perform all HR functions associated with the districts Teacher Substitutes processes and procedures and provide support to all district campuses with the Teacher Substitute district protocol.

 

 

 

 

Reports and Correspondence

  1. Prepare and distribute or post job vacancy announcements and advertisements.
  2. Prepare, maintain, and distribute employee handbook as directed.
  3. Prepare correspondence, forms and reports according to district standards and requirements.
  4. Monitor the Substitute Verification reports for timely campus submissions

 

Other

  1. Answer and respond to incoming calls, take reliable messages, and route to appropriate staff.
  2. Greet visitors and assist employees and applicants to complete applications and required paperwork.
  3. Assist with the preparation and distribution of employment contracts.
  4. Maintain confidentiality.
  5. Follow district safety protocols and emergency protocols.
  6. Proactively learn all HR duties and functions to provide support in areas needed in order to improve the success and operation of the department.
  7. Have great desire to work as part of a team.
  8. Other duties as assigned.

 

 

SUPERVISORY RESPONSIBILITIES:

None

 

LANGUAGE SKILLS:

Ability to read, analyze and interpret documents such as general business periodicals, safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively before staff, students, parents, the school community and the general public.

 

MATHEMATICAL SKILLS:

Knowledge of basic math skills including the ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

 

REASONING ABILITY:

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to apply common sense understanding to carry out instructions furnished in written, oral, diagram or schedule form.  Ability to deal with problems involving a several abstract and concrete variables.

 

PHYSICAL DEMANDS:

Occasional absences are understood but regular attendance is required.

 

While performing the duties of this job, the employee is frequently walking, standing, stooping, bending, and reaching.  Occasional lifting and moving of moderate to heavy objects is required. Repetitive hand motions and prolonged use of the computer are required of this employee. Specific vision abilities required by this job include close vision, color vision, depth perception, and the ability to adjust focus.  The employee will work with frequent interruptions.

 

The employee must maintain emotional control under stress. 

 

 

WORK ENVIRONMENT:

The noise level in the work environment is usually quiet and is performed indoors.  The employee must be able to meet deadlines with severe time constraints and interact with the public and other workers
